Office Manager (Part-time 3 month fixed-term contract)

Greenhouse is an award-winning communications agency with a mission to power positive social and environmental change. We work with clients in sectors where we can have the biggest impact on the transition to net-zero; from energy, clean tech, transport, finance, food, nature, oceans, to youth and future generations.

We are looking for a dynamic and experienced Office Manager who wants to make a positive difference in the world and would enjoy working in a busy and mission-focused
team, based in either our London or Bristol office.

Reporting into the Head of People and Culture.

Roles and Responsibilities

Office Manager

  • Managing London and Bristol office facilities and supplies.
  • Supporting staff and managing requests in the London and Bristol office.
  • Monitoring office related expenditure against a budget.
  • Managing condition and appearance of offices.
  • Fielding enquiries to our office via mailbox and office phone.

Supporting the Managing Director

  • Planning ahead and helping to prepare MD for upcoming events or meetings.
  • Responsible for the proactive management of MD’s inbox and calendar.
  • Anticipates diary/calendar changes and responds accordingly.
  • Sources information/documents and pre-brief material from relevant sources for MD.
  • Develops high quality documents e.g. presentations/agendas/letters.
  • Manages business-sensitive information in a professional manner with confidentiality.

Operations

  • Support on new business tendering – fielding new enquiries and responding.
  • Working alongside finance team updating agency management system, Forecast.
  • Managing the relationship with our IT Managed Service provider.
  • Managing international travel for COP29.

HR

  • Support for recruitment of roles, co-ordinating interviews and tracking applicants.
  • Creation of ad hoc letters (salary rises/promotions/bonus/offer letter).
  • Updating HR system.

Skills and experience

  • Personable, efficient, motivated.
  • Organised and adept at prioritising your workload and juggling deadlines.
  • Self-starter who learns quickly and is able to use initiative.
  • Flexible and able to adapt to the needs of a growing team.
  • Proven experience supporting business leaders in senior management roles.
  • Strong communicator and able to engage with key stakeholders.
  • Able to pre-empt issues/problems before they arise and remain solutions focused.
  • Proficient in Microsoft applications, with a keen eye for design and attention to detail.
  • Experience using Forecast agency management software or similar will be a bonus.
  • Passion for making a positive difference to the environment and world around us.

Salary and benefits

  • £35-45K per annum (dependant on experience), pro rata.
  • Fixed term contract for 3 months, working 3-4 days per week.
  • Flexible working: core hours 10am-4pm
  • 25 days holiday pro rata
